On the salient advice of our partners, who have recommended your event to us, we hereby wish to submit our sincere interest to attend and participate in your forthcoming international conference event.

Thus, by this mail, we wish to confirm and reiterate our sincere interest and willingness and to attend and participate at your forthcoming international events such as mentioned below.

We wish to confirm to you that, the delegates are experts in the issues to be deliberated upon and they are being sponsored by the Government, who have provided sufficient funds to pay for and cover return flight tickets, travel and health insurances, accommodation etc. for the following delegates:

However, as a Policy of the Government, our major sponsors, we are being required and requested to present to the Administration, some proof of being accepted to participate, such as we should present an invoice / pro-forma invoice, and Visa Support Letters of Invitation, which are issued by you the organizers.

Thus, we have to present an invoice and invitation letters to our Directors, who will then deliberate upon them and thereafter give their authorization and approval, which ensure the approval for the release of already allocated funds to cover the payment of all associated costs such as for registration / participation fees, flight tickets, insurances, accommodation, meals etc.

To facilitate the process our delegates’ attendance and participation, we are kindly requesting you to issue us with invoices / pro-forma invoices and invitation letters, which will also serve as visa support letters for six delegates.

Furthermore, we wish to advice and inform you that, our delegates do require and need entry visas for your host country. That, there is NO Accredited Embassy in our country and such we have to travel to neighbouring country where the accredited embassy is located, in order to apply and process their entry visas. The process also takes some time.

The Delegates do hold Official Service and Diplomatic Passports and some have even travelled to such countries like France, Germany, Belgium, Spain, Italy, Denmark, UK etc. 

Therefore, the sooner we are able to receive the visa support letters of invitation and invoice with your bank account details and invitations, the better for us in expediting the process of acquisition of all relevant supporting documents for our delegates.

We shall thus be very grateful should you respond at your very soonest convenience to this email.
